My Asset – Asset Requests

Overview

The Asset Requests tab under My Asset enables employees to:

  • Raise new asset requests
  • Track the approval workflow and final allocation status
  • Filter and export asset request data
  • Cancel requests where applicable

This module ensures transparent asset request handling, from submission to final allocation or rejection.



System Workflow Summary

  1. Employee submits an Asset Request
  2. Request goes through the approval workflow
  3. Final Status is updated:
    • Allocation Pending
    • Asset Allocated
    • Rejected
  4. Once Asset Allocated, the asset appears in:
    • My Asset → My Assets tab
  5. Employees can:
    • View request history
    • Export request data
    • Cancel eligible requests

The Asset Requests table displays all asset requests raised by the logged-in employee.


Table Columns

Column NameDescription
Asset TypeType/category of asset requested (e.g., Keyboard, Desktop, Vehicle)
Request DescriptionAdditional details entered during request submission
Requested Allocation DateDate on which asset allocation is requested
Requested Return DateExpected return date (if applicable)
Created Date / Created ByDate when request was raised and employee name
Final StatusCurrent approval/allocation status
Cancel RequestOption to cancel eligible requests

Final Status Indicators

Status LabelMeaning
Allocation PendingRequest submitted and pending approval
Asset AllocatedRequest approved and asset assigned
RejectedRequest rejected by approver

Colored indicators and status badges provide quick visual understanding.

  • + Request → Raise a new asset request
  • Export → Download table data
  • Filter → Apply search criteria

Raise Asset Request

Clicking + Request opens the Request Asset form.

  • Reset → Clears entered data
  • Submit → Sends request for approval

Employees can narrow down request records using filters.

Available Filters

Filter Actions

  • Search → Apply selected filters
  • Reset → Clear all filters

Business Rules

  1. Only the logged-in employee’s requests are visible
  2. Asset appears in My Assets only after:
    • Request Final Status = Asset Allocated
  3. Export respects filter conditions
  4. Cancel option depends on request state
  5. Rejected requests cannot be edited or resubmitted directly

Best Practices

  1. Provide clear Request Details to speed up approval
  2. Verify dates before submission

  4. Export records for personal tracking if required
  5. Cancel unused or incorrect requests early
