Overview
This guide explains how to connect your biometric attendance machine with the HRMS system.
After setup, employee punch-in and punch-out data will automatically appear in HRMS.
This helps HR teams manage attendance easily without manual entry.
- Automatic attendance tracking
- Accurate employee punch records
- No need for manual attendance entry
- Faster HR attendance processing
Basic Requirements
Please make sure the following things are ready before integration.
- The biometric machine must be connected to the office network (LAN).
- Biometric software must be installed on a computer or server.
- Auto Download option must be turned ON.
- Attendance data should automatically save in the system database.
- The system computer should be turned ON before employees arrive.
- Do not shut down the system until all employees finish punching out.
- For best results, keep the system running all the time (24/7).
Attendance Data
The biometric system saves attendance data in a table with the following details.
| Field | Meaning |
|---|---|
| Index_No | Unique number for each record |
| Card_No | Employee ID or card number |
| In_Out_Time | Date and time of punch |
| Mode | Punch IN or Punch OUT |
Example Record
| Employee ID | Action | Date & Time |
|---|---|---|
| 12345 | IN | 2025-02-05 08:00:00 |
| 67890 | OUT | 2025-02-05 17:00:00 |
The date and time must follow this format:
YYYY-MM-DD HH:MM:SS
Example: 2025-02-05 08:00:00
Information We Need From You
To connect the biometric system with HRMS, please share the following details.
- SQL Server Version
- Database Name
- Attendance Table Name
- Column Names
- Server Name
- Login Type (Windows / SQL)
- SQL Port Number (Default: 1433)
Remote Access
After everything is ready, our technical team will need remote access to the system where the biometric database is installed.
This is required to:
- Connect the biometric system with HRMS
- Install the integration service
- Test the attendance data
Good Practices
To keep the system running smoothly:
- Keep the system computer running during office hours
- Check that attendance punches are being recorded
- Take regular backups of the database
- Allow only authorized people to access the system
