Sick Leave (SL)

Sick Leave Advance Policy is a leave policy configuration that allows an organization to pre-define all rules and conditions related to sick leave in advance, instead of handling them manually.


Basic Information

Define the basic identity of the sick leave policy.

Configure the following fields:

  • Policy Name : Sick Leave Adv
  • Leave Code : SL
  • Description :Sick Leave Advance Policy

Calendar settings

  • Leave Calendar : Calendar Year (January – December) / Financial Year (April - March)
  • Policy Start Date : 01-Feb-2026

Year End Settings

  • Year End closing - Auto/Manual
  • Allow Next Year Leave Requests : Yes/No

This step ensures the policy is correctly identified and available for use.


Leave Allotment

Decide how many sick leaves employees receive and when

Key Configurations:

  • Leave balance starts from: Date of Joining
  • Allotment based on: Yearly
  • Leave credited: Start of the cycle
  • Allotment type: Fixed
  • Number of leaves per year: 5 days
  • Attendance based: Not applicable

Probation:

  • Employees under probation receive the same allotment as confirmed employees because the toggle is off. This ensures a fixed number of sick leaves are credited yearly.

Application Rules

Control when and how employees can apply for sick leave.

Rules Configured:

  • Employees can apply immediately after joining
  • Leave balance is visible before eligibility
  • Employees can apply leave before or after leave date
  • Supporting document mandatory for leave ≥ 4 days
  • Employees can apply during probation
  • Employees can apply during notice period
  • Applying leave before balance allocation is not allowed

These rules help enforce compliance and documentation.


Limits

Set usage restrictions per request.

Limits Defined:

  • Minimum days per request: 0.5
  • Maximum days per request: 5
  • Gap between applications: 0 days
  • Monthly limit: Not applied
  • Yearly limit: Not applied

Sandwich Rules:

  • Leave + Weekoff/Holiday + Leave → Not applicable
  • Weekoff/Holiday + Leave + Weekoff/Holiday → Not applicable

This ensures flexibility without sandwich leave deduction.


Carry Forward

Define year-end handling of unused sick leave.

Configuration:

  • Carry Forward: Enabled
  • Maximum carry forward: 0 days
  • Remaining balance: Lapsed
  • Encashment: Disabled
  • Encashable on separation: Disabled

Unused sick leaves will lapse at the end of the year.


Who Gets It

Decide which employees the policy applies to.

Applicability Rules:

  • Applied based on SBU
  • Specific SBUs selected
  • Only employees matching these conditions are eligible

This allows controlled rollout of the policy.


Review & Submit

  • Review all configurations by clicking on the Review Policy button.

  • Click Submit.

  • Policy is saved and becomes active as seen on the Leave Code Policy List page.
