Condolence Leave Advance

Condolence Leave is a type of leave given to an employee in the event of the death of a close family member. It allows the employee time to grieve, attend rituals, and support their family during a difficult period. The number of days granted depends on company policy.

Switching to Advance Settings

  • Use the Advance Configuration toggle at the top-right
  • Turn the toggle ON
  • Confirm by clicking Yes in the popup

The policy is now converted from Basic Policy to Advance Policy.

Leave Allotment Based On

  • Usually Condolence Leave is given one-time to the employee for there entire employment period.

  • Note: For one-time leave, the system uses the Date of Joining by default.

  • One Time
    Leave is credited only once.
    Example: 3 condolence leaves given at the start of the year.

Number of Leaves per Cycle

This field defines how many leaves are given in each selected cycle.

Example :

  • 3 leave per cycle
  • Result: 3 leaves for entire employment period

The calculation automatically changes based on the selected cycle (Monthly, Quarterly, Yearly, etc.).


Application Rules

Leave Allotment

  • Condolence Leave is provided to employees in the event of the death of an immediate family member. As this leave is meant for sudden and unavoidable situations, the following application rules apply :

  • Employees are allowed to apply this leave immediately without any waiting period from the Date of Joining or Date of Confirmation.

  • No advance application restriction is applied, as condolence situations cannot be planned.

  • Condolence Leave is not restricted during probation or notice period.

  • Employees can apply before or after eligibility, as the leave is granted based on the situation.

  • Supporting documents are not mandatory, unless required as per company policy.

  • These rules ensure that employees can access Condolence Leave without delay or procedural barriers during difficult times.


Limits

Leave Allotment

Condolence Leave usage is kept flexible while maintaining basic limits, as it is meant for sensitive and unavoidable situations.

  • Employees can apply for a minimum of 1 day and a maximum of 3 days of Condolence Leave per request.
  • There is no mandatory gap between two Condolence Leave applications.
  • No yearly or monthly leave limits are enforced for Condolence Leave.
  • Sandwich leave rules are not applicable, meaning weekends, week-offs, or holidays between condolence leave days are not counted as leave.
  • These settings ensure that employees receive adequate time off during bereavement without unnecessary restrictions.

Carry Forward & Encashment

Carry Forward

Condolence Leave is a special-purpose leave provided for bereavement and is not treated as a regular earned benefit. Therefore, the following rules apply:

  • Carry forward is not allowed for unused Condolence Leave at the end of the leave year.

  • Condolence Leave is not encashable on separation from the organization.

  • These settings ensure that Condolence Leave is used only when required and is not accumulated or converted into monetary benefits.

Only employees matching the defined conditions will be eligible for this leave policy.

  • Policy is saved and becomes active as seen on the Leave Code Policy List page.
